At Second Mile, we are committed to using artificial intelligence (AI) responsibly and transparently in ways that enhance the quality, efficiency, and impact of our services without compromising the values of human dignity, care, and trust.
This statement outlines how we incorporate AI into our work and how we protect your data, uphold transparency, and ensure people always remain at the center of what we do.

How We Use AI

We use AI tools to support, not replace, our team in delivering meaningful services to you. Some of our use cases include:
  • Drafting content, summaries, and reports to speed up communication and reduce manual burden
  • Enhancing productivity through scheduling, research, and data organization
  • Supporting back-end development and security via intelligent coding assistance
The following tools may be used by our team (though this list is not exhaustive, as many modern platforms contain embedded AI features):
  • ChatGPT – for content support and idea generation
  • Manus – for transcribing and summarizing meetings
  • HubSpot – for customer service automation and campaign optimization
  • GitHub Copilot – for improving development workflows
  • Google Workspace (GSuite) – for writing suggestions, smart replies, and organization tools
  • WP Engine – for content insights and performance tools
These tools are selected and reviewed for their relevance, performance, and compliance with privacy and ethical standards.

Our Commitment to Responsible AI

We use AI in ways that align with our ethical values and put people first:

1. Transparency

We inform clients and stakeholders when AI is used to assist in the development or delivery of content, communications, or services. When applicable, AI-generated elements are reviewed by a member of our team before being shared externally.

2. Human Oversight

AI is a support tool. All final outputs, especially those impacting strategy, communication, or decision-making, are approved by a human professional.

3. Privacy & Security

We do not share, upload, or input sensitive client information into public or non-secured AI tools. This includes personal identifiers, financial data, or proprietary material. All data use aligns with our broader privacy policy and applicable regulations.

4. Fairness & Non-Discrimination

We do not use AI in ways that automate decisions about people (e.g., eligibility, hiring, or evaluation), nor do we allow outputs that show bias, discrimination, or misrepresentation. We audit AI-assisted content to ensure fairness and appropriateness.

What AI Does Not Do at Second Mile

  • AI does not make final decisions that affect our clients or their data
  • AI does not replace personal relationships, empathy, or nuanced understanding
  • AI does not access confidential information without strict controls and oversight

Governance & Accountability

We have internal oversight practices in place to regularly review how AI is used at Second Mile. We remain informed of evolving best practices and legal standards and update our systems and policies accordingly.
